Job Description

The ETDP SETA is looking for a quality-oriented, self-motivated individual to assume responsibility as a:

Governance Structures Administrator
Salary: R222 480.62 per annum (Total Cost to Company)
Fixed-term contract until 31 March 2011 (renewable, subject to the continued existence of the SETA and excellent performance by the incumbent)


A person is sought who will be responsible for the administration of governance structure activities and will serve as a link between the governance structures and the Co-ordinator in ensuring good governance and compliance.

Key performance areas:

  • Draft and forward invitation letters for all chambers and follow up with delegates
  • Compile travel and accommodation requisitions and confirm travel details with all delegates by e-mail and telephone
  • Procure printing, couriering and catering quotations and payment thereof
  • Pay travel claims
  • File all hard copy documents
  • Draw up specifications and source venues for external meetings
  • Maintain records of meeting documentation in electronic and hard copy format
  • Update filing/archive systems
  • Develop draft agendas for Broad Management meetings and take minutes at these and other meetings
  • Take minutes in Broad Labour Forum, Broad Management and Staff Meetings
  • Forward all signed minutes to the Registry Officer for electronic filing
  • Provide other administrative support where required
  • Assist with the development of the Annual Activity Calendar for the organisation
  • Submit weekly reports on the Governance Administration function and activities to the Governance Structure Co-ordinator.


Requirements: Candidates for the position should:

  • Be qualified with at least a Matric and proven secretarial training
  • Have a minimum of 5 years' working experience in an administrative environment
  • Be able to apply knowledge sensibly to achieve results
  • Have strong interpersonal relationship skills
  • Have excellent verbal and written communication skills
  • Strive to give quality service to internal and external stakeholders
  • Be willing and able to promote equity in the workplace
  • Display the highest standards of ethical and moral conduct to staff and others
  • Have a driver’s licence.
